Events Coordinator

The Events Coordinator performs organizational and supervision of logistical support for Town-sponsored events and festivals.

This position involves weekend and evening hours as needed for the planning and implementation of events.

Work is performed independently under general supervision.
 Examples of Duties:Oversees the planning and managing of Town-wide special events such as Eggstravaganza, the July 3rd Independence Day Celebration, Trick-or-Treat the Trails, Light Up Main, Christmas Parade, and LatinFest. Supervises day of event to assure smooth-running operations and logistics;
 
Develops detailed plans and timetables for events; works on set up and sitemaps;
 
Develops and monitors budget for special events, offers recommendations in the development of event budgets, submits payments, receipts and contracts in a timely manner;
 
Coordinates details of events with other Town departments, Town staff and volunteers;
 
Develops contacts with specialized providers such as performers, bands, sound, stage technicians and other contracted services as required;
 
Recruits volunteers for programs and events; maintains database of event participants;
 
Solicits sponsorships for events for funding;
 
Maintains accurate inventory of supplies; inspects inventory for proper condition and safety;
 
Prepares and maintains proper files and records including site maps and run sheets;
 
Performs site safety inspections;
 
Offers recommendations and summary reports from events and makes suggestions on future improvements to events;
 
Assists Communications Manager with media relations concerning special events;
 
Works with Marketing Coordinator to coordinate with outside organizations such as newspapers, community calendars, websites and social media to promote special events;
 
Works on special projects as assigned such as new departmental campaigns, new programs, and accreditation process;
 
Supervises supplemental special events assistant.

Performs related duties as assigned.
 Minimum Qualifications:Applicants must possess a bachelor's degree from an accredited college or university with major course work in Recreation Administration, Event Planning, Public Administration, Business Administration or related field.
 
Applicants must possess an appropriate driver's license valid in the State of North Carolina.

Applicants must be proficient with MS Office.

Three (3) or more years of experience in planning, marketing, promotions, sponsorships and advertisements related to festivals, performance venues, large special events, and performing arts programming is strongly preferred.
 Additional Information:CPR/First Aid certification must be obtained within 6 months of hire.

The salary range shown is the full salary range for this position. The actual starting salary will be determined after considering the selected candidate's skills and qualifications.
