About the Department
 
The University of Chicago is a private, institution encompassing the undergraduate College, six professional schools (Business, Law, Divinity, Public Policy, Medicine and Social Service Administration), four graduate divisions (Biological Sciences, Humanities, Physical Sciences, and Social Sciences) and the University of Chicago Medical Center. The broader University enterprise includes Argonne National Laboratory, Fermilab, and Yerkes Observatory. The Biological Sciences Division (BSD) and the University of Chicago Medical Center (UCMC) are managed by a single Dean/Executive Vice President and comprises the largest unit of the University. The Medical Center oversees the finances and operations of all inpatient and ambulatory services. Physicians who provide patient care services are all appointed in one of the 13 clinical Departments within the BSD. The BSD includes the Pritzker School of Medicine, approximately 24 academic units, degree granting committees, and research centers and institutes. The BSD is located on the University's main campus in Hyde Park, ten minutes south of downtown Chicago. BSD's patient care operations are conducted primarily at the University of Chicago Hospital and clinics, which share the same campus. In addition, we launched a network of clinically integrated community physicians.

Job Summary
 
The job leads the administration of academic, research, clinical or administrative programs.

The Chief of Staff serves as a senior advisor to the Chief Physician and Dean for Clinical Affairs and the Vice Dean, Administration and Finance and Vice President, Clinical Practice Plan impacting productivity, managing administrative, operational, and financial affairs, and driving communication. The Chief of Staff will be an experienced, creative and entrepreneurial leader with the ability to generate new solutions to complex problems supporting organizational objectives by applying new perspectives.

Responsibilities


  • Takes strategic initiatives from development through successful execution under the guidance of executive leadership and in collaboration with leaders across the enterprise.
  • Act as a catalyst and driving force, building relationships to optimize organizational performance.
  • Accurately represent leadership for operational excellence in decision-making, meetings and discussions bringing understanding and alignment to establish outcomes.
  • Ensure communications are well-coordinated, timely, and effective.
  • Act as a proactive advisor on issues related to University, BSD and UCMC policy, process, and practice.
  • Facilitate strategic management process, provide expertise and program management for specific strategic initiatives out of the Dean’s office that are critical in meeting organizational goals.
  • Responsible for developing collegial and collaborative relationships regarding governance, budget management, engagement, project updates, proposals, and planning.
  • Serve as a subject matter expert, handling inquiries, developing action plans, preparing, and disseminating a broad range of communications.
  • Manage priorities to maximize relationships with the University, BSD, the Boards, hospital leaders, and leaders across the enterprise including department chairs.
  • Prepare reports, proposals, briefings, presentations, and responses on organizational and strategic issues that frequently require sensitivity, discretion, judgment, or negotiation.
  • Manage communications, develop message strategies and consistency, and prepare and coordinate special correspondence.
  • Represent the Chief Physician and Vice Dean to various constituencies, both internal and external to the University, and serve on committees.
  • Plans and develops program objectives and/or content. Researches and identifies trends and needs and establishes program directions accordingly.
  • Serves as a key resource for program information. Resolves problems or questions referred by program staff, University administrators, or other contingencies.
  • Performs other related work as needed.

Minimum Qualifications
 
Education:
Minimum requirements include a college or university degree in related field.

Work Experience:
Minimum requirements include knowledge and skills developed through 7+ years of work experience in a related job discipline.

Preferred Qualifications

Education:

  • Master’s degree in Business Administration or similar field

Experience:

  • 5+ years in a leadership or executive management role.
  • Proficient in strategic planning and implementation.
  • Experience communicating organizational goals and results to a broad audience.
  • Experience developing creative solutions to address organizational challenges.
  • Experience in operational productivity.
  • Strong project reporting skills.
  • Strong organizational communication experience.
  • Experience in data analysis.
  • Experience working in higher education or an academic medical center.
  • Experience in operations management.
  • Proven success in coordinating high impact or organizational projects.
  • Proven experience organizing and directing teams and departments.
  • Excellent communicator in written and verbal form.
  • Strong customer service approach.
